1. Introduction

GetPass respects the privacy of website visitors, account holders, event participants, and event organizers. This Privacy Policy explains how personal information is collected, used, shared, stored, and protected when you use GetPass.

GetPass is operated by Aquila Softwares Corporation, located at ENM Building, Sampaloc St corner, 212 Dao, Matina Crossing, Davao City, 8000 Davao del Sur.

Our platform supports event discovery, registration, ticketing, attendance tracking, and event management. We also use advertising technologies, including Meta Pixel, subject to the choices described in this policy.

This policy provides notice of our data practices. Using GetPass or registering for an event does not, by itself, constitute consent to optional advertising tracking.

2. Information We Collect

Depending on how you use GetPass, we may collect:

Information you provide

• Full name, email address, and contact number.
• Organization or company name, where applicable.
• Account and registration information.
• Information submitted through support requests.
• Additional information requested by an event organizer, with an explanation of its purpose.

Event and transaction information

• Events registered for, ticket details, and registration status.
• Ticket identifiers, QR codes, and attendance or check-in records.
• Where payment features are used, transaction references, payment status, and information needed to verify or manage the transaction.

Technical and browsing information

• IP address, browser type, device information, and access times.
• Pages visited and interactions with the platform.
• Cookie identifiers and advertising interaction data collected through technologies such as Meta Pixel, where enabled with your consent.

The information transmitted through advertising tools depends on their configuration and your privacy choices.

3. Why We Use Your Information

We use personal information to:

• Create and manage accounts.
• Process registrations and issue or verify tickets.
• Record attendance and provide event reports.
• Support payments and related inquiries where applicable.
• Send registration confirmations and important event updates.
• Respond to inquiries and provide technical support.
• Protect the platform against fraud, misuse, and unauthorized access.
• Meet applicable legal and recordkeeping obligations.

With your separate consent, we may also use advertising interaction data to measure campaigns, show relevant advertisements, and create advertising audiences as explained below.

4. Basis for Processing

We process personal information on an applicable lawful basis, including processing necessary to provide a service you request, compliance with legal obligations, consent, or legitimate interests such as platform security where these do not override your rights.

Optional advertising tracking and consent-based promotional communications are handled separately from information needed to provide event services.

Where an organizer requests sensitive personal information, it must explain the purpose and establish the applicable legal basis before collection.

5. Cookies, Meta Pixel, and Advertising

GetPass uses essential cookies or similar technologies to support functions such as account sessions and platform security.

With your consent, GetPass also uses Meta Pixel, an advertising technology provided by Meta, to:

• Measure visits and actions associated with advertisements.
• Assess advertising campaign performance.
• Show advertisements to people who previously visited or interacted with GetPass, known as retargeting.
• Create lookalike audiences to reach people with characteristics similar to an existing advertising audience.

When activated, Meta Pixel may transmit information such as your IP address, browser or device details, pages visited, interaction events, and cookie identifiers to Meta. These identifiers may allow Meta to associate activity with a Meta account.

Meta processes information it receives under its applicable terms and Privacy Policy.

Advertising technologies remain disabled until you provide consent. You may accept or reject optional advertising tracking and later withdraw consent through your browser.

Rejecting advertising tracking does not prevent you from registering for an event. Withdrawal stops future consent-based tracking but does not automatically erase information already lawfully processed.

6. Who Receives Your Information

We disclose information only where necessary for a stated purpose and supported by an applicable lawful basis. Recipients may include:

• The organizer of an event you register for, and its authorized personnel, for registration, attendance, and event coordination.
• GetPass personnel, where access is necessary for their responsibilities.
• Service providers, such as hosting, communications, technical support, and payment providers used to deliver platform services.
• Meta, for the advertising activities described in Section 5, when you consent.
• Authorities or other legally authorized recipients, where disclosure is required by law or necessary to establish, exercise, or defend legal claims.

GetPass does not sell participant registration records. However, consent-based advertising involves transmitting certain browsing and interaction information to Meta.

Registration information is not automatically authorized for unrelated marketing. Any separate promotional use must have an appropriate notice and lawful basis.

7. Event Organizer Responsibilities

Event organizers determine the information they require and how they use it for their events. GetPass processes event information on their behalf where it acts under their instructions, and determines processing purposes for its own platform operations.

Organizers must provide appropriate notices, limit collection to necessary information, protect participant records, and honor applicable privacy rights.

An organizer may provide a separate privacy notice for its own processing. This GetPass policy does not authorize unrestricted use of participant information.

8. Storage and International Processing

Personal information may be stored in GetPass systems and the systems of service providers supporting the platform. Information transmitted to Meta is also processed within Meta's systems.

Depending on the providers used, information may be processed outside the Philippines. GetPass remains responsible for applying appropriate safeguards to transfers for which it is accountable.

9. Data Protection

GetPass applies reasonable organizational, physical, and technical safeguards appropriate to the information processed.

Access is limited according to authorized responsibilities. We also require appropriate privacy and security safeguards from providers processing information on our behalf.

No system is completely secure. Where a personal data breach occurs, we will take appropriate response measures and provide notifications when legally required.

10. Data Retention

We retain personal information only for the period needed for its stated purpose or an applicable legal requirement.

After the applicable period, information is securely deleted or anonymized unless continued retention is legally justified. Backup copies are removed through the applicable backup retention cycle.

Information held by Meta is subject to Meta's retention practices and applicable privacy rights.

11. Your Rights and Choices

Subject to applicable law, you may:

• Ask about the processing of your information and request access.
• Request correction of inaccurate or incomplete information.
• Request deletion or blocking where legally applicable.
• Object to processing, including direct marketing and profiling.
• Withdraw consent for processing that relies on consent.
• Request data portability where applicable.
• Lodge a complaint with the National Privacy Commission.

13. Changes to This Policy

We may update this policy when our services, data practices, or legal obligations change. The updated version will be published on GetPass with its effective date.

We will provide appropriate notice of material changes and obtain fresh consent where required before introducing a new consent-based purpose. Publishing an updated policy does not automatically authorize new advertising or marketing uses of previously collected information.
